    Taking control with casino management systems

    How can today’s casino operators get the most from their casino management systems?

    While the gaming floor may be buzzing with activity, behind the scenes, sophisticated casino management systems (CMSs) form the backbone of operations, co-ordinating game data, tracking performance and ensuring regulatory compliance

    The insights they deliver are vital for managing the venue’s day-to-day activities and, as such, operators need to consider many factors when purchasing or upgrading their software platform

    “Before purchasing a CMS, operators should always ask themselves what is it that they want out of a system and what is it that they are not satisfied with,” said Dejan Tomić, CEO of Future Gaming Europe

    “A CMS is no magic wand but rather a powerful tool with which the operator may reveal hidden pitfalls in their operation or uncover the essential reasons behind slow growth whilst perfectly tracking the movement of funds and slot efficiency.”

    For Jens Einhaus, head of sales and product marketing NBS at Novomatic, the question should be split into several considerations

    “First of all, there are technical aspects that an operator should consider; topics like modularity, security, sustainability and usability,” he said. “These are all system-immanent aspects that strongly affect the initial cost structure, daily processes and long-term efficiency

    “Then, there is the ‘organic’ side that affects the delicate balance between player experience and player protection. At the end of the day, every operator needs to focus on a well-balanced relationship between player retention and player protection through two questions: ‘how can I create the most rewarding offer for my players?’ and ‘how can I create a safe environment and protect them from any harmful de

    “Operators also need to decide whether they prefer to go cashless or not. Is anonymous play still an option? In some jurisdictions it is, but perhaps operators may want to anticipate regulatory changes and be prepared with the right toolset for the future of their business.”

    “There has never been a more compelling time for casino management systems,” declared Jacob Lanning, head of systems commercial strategy and operations at IGT

    “With a system such as IGT Advantage, an operator can leverage a host of applications that engage the player with highly customised offerings, sophisticated integrations between the CMS and fintech, or choose to deploy cloud-based solutions across multiple locations

    “The operator should consider the size and scope of their casino floor, player preferences in their market and the features that enable them to uniquely cater to this player base while also improving operations.”

    Ensuring interconnectivity throughout the venue

    For many operators, the interconnectivity of a good CMS is an essential point in its favour. This extends not only to all operations on the gaming floor, including gaming, loyalty, hospitality and analytics, but accounting and financial reporting as well

    “Slot and table accounting data audited within the casino management system is used to report slot and table revenue,” said Tom Soukup, senior vice president and chief systems product officer at Konami Gaming

    “Within that scope, Synkros supports a broad range of accounting, finance and reporting functions across the gaming enterprise, including slot accounting, credit, cage and vault operations, transaction tracking, tax reporting and audit functions

    “Casino management systems can also integrate with point-of-sale, hotel and other revenue-centre systems to extend player loyalty programs, such as earning and redeeming points

    “However, they do not perform the financial reporting for those revenue centres, so a separate financial reporting system is still needed to report across the full operation.”

    “There’s definitely a growing move toward more unified ecosystems,” said Marco Herrera, CEO of DR Gaming Technology. “Operators increasingly want real-time visibility across gaming, accounting, loyalty, cashless transactions and operational reporting from a single platform

    “The real value comes from connected data and faster decision-making across the business

    That said, larger enterprise operators often still integrate their CMS into wider ERP [enterprise remaller operators may prefer more consolidated solutions that simplify day-to-day operations

    “What we’re seeing most clearly is demand for flexibility. Operators want systems that can either function as a fully integrated platform or integrate cleanly into their existing infrastructure.”

    Integration with finance systems

    Finance solutions are not just for the back office, of course. Mobile integration which allows players to connect to their profiles and make digital payments through their phones has absolutely taken off in recent years

    “Mobile integration and cashless gaming are among the biggest shifts happening in the industry right now, and something we have driven and advocated for from the outset,” said Herrera. “Players increasingly expect the same digital convenience they experience in other service and entertainment sectors from their casino too

    “Cashless adoption has moved from ‘future trend’ to active operational priority. Operators are looking for ecosystems where players can manage loyalty accounts, access promotions, transfer funds and interact with the casino directly from their mobile devices

    “We’ve seen strong momentum around solutions like our drPlayerApp and integrated cashless technologies. Mobile functionality is no longer viewed as a standalone feature – it’s becoming part of a fully connected player journey.”

    “It is no longer a push in this direction but rather becoming a new standard,” agreed Einhaus. “Mobile integrations have become something operators these days can expect from a modern CMS

    “The NovoVision smart offer, for example, has been developed to address two distinct user segments, namely the casino staff and the casino guestser App, both with a variety of highly target-group-specific functionalities

    “ity staff will receive notification of any defined event according to their user role. With the extended version, they can also feed back relevant information, documentation and comments to the system

    “The NovoVision Smart Player App is a multi-platform app that is smoothly integrated in the NovoVision suite, aggregates data from the CMS and presents players the information they look for – fast and easy.”

    Keeping connections on-premises

    Though there are solid reasons to keep CMSs on-premises, the systems are increasingly exploring what functionality the Cloud can offer

    “Casino floors depend on constant connectivity to the casino management system for ticketing and cashless play,” said Soukup. “If a Cloud connection goes down, slot machines may be unable to issue tickets and players may lose access to cashless transactions. For that reason, most casinos keep those core functions on-premises

    “For player loyalty, Synkros supports true omnichannel integration by capturing and unifying real-time data across every patron touchpoint, including slot machines, table games, point-of-sale outlets, non-gaming amenities and digital channels such as igaming and sports betting. This allows operators to deliver consistent rewards, more personalised engagement and data-driven loyalty strategies across the entire enterprise.”

    “While today’s CMS deployments are predominantly on-site, IGT Advantage deployment, either on-site or Cloud-based with managed services, can unlock tremendous benefits for customers in terms of speed-to-market, floor space optimisation and more,” added Lanning

    “As the industry migrates towards more real-time data analytics and support for the technology that provides those insights, there are going to be even more benefits to adopting advanced technologies and Cloud-based solutions.”

    Herrera summed up the situation, saying: “The future isn’t ‘Cloud versus on-premises’ – it’s about building resilient ecosystems that combine the strengths of both.”

    Guarding against internal and external threats

    Managing such highly sensitive and operation-critical data, it is of course essential that CMSs are as secure as possible

    “Operators are best advised to ensure that their CMS adheres to the principles of confidentiality, integrity, availability and traceability of all system components and data,” said Einhaus

    “Internal necessities include security documentation, layered user permission management on a minimal privilege principle with sessions logging and audit trails, as well as the good old usability to reduce user errors to a minimum

    “Towards external threats, the system needs secure network and hosting infrastructure, robust cybersecurity layers and safe logging tools. A complete system backup and disaster recovery framework are mandatory, as are 24/7 technical support and a formalised escalation matrix for incidents.”

    Tomić too explained that security and compliance are the keystones of Future Gaming Europe’s eFloor system. “Everything is heavily encrypted in the system, both in the database and in device intercommunication,” he said. “This is a basic requirement for mature and compliant systems

    “We are GLI compliant and this is implemented in eFloor. Of course, future challenges will require improved solutions in this field, but this is a part of our business and will always be addressed when necessary.”

    “As cashless gaming and mobile integration expand, operators need to approach security as an ongoing discipline rather than a one-time implementation,” agreed Herrera

    “Strong system architecture is the foundation. At DR Gaming Technology, our drSMIB mesh network was designed for resilience, redundancy and transactional integrity from the outset. It has been tried and tested time and time again, and our ongoing success and global expansion bears testament to that

    “Operators should also focus on layered security measures such as access controls, encryption, network segmentation, continuous monitoring, regular penetration testing and, obviously, staff training.”

    The growing prominence of AI

    As technology advances, CMSs are becoming increasingly intelligent, data-driven and interconnected. So, what could the future hold for the platforms moving forward? According to Soukup, AI may play a huge role in the casino management systems of tomorrow

    “Looking ahead, customer technology that is becoming mainstream in people’s day-to-day lives will become part of casino management system and player loyalty,” he said

    “For example, facial recognition is helping to speed up security lines at airports. As people become more comfortable with facial recognition versus having to remember their player card, players may find it more convenient to just sit down at a slot machine or at a table game and be logged into their player loyalty account

    “Similarity, rather than presenting your player loyalty card and ID at the player’s club and other touchpoints in the casino, it may be more convenient to just walk to the counter and be automatically recognised

    “In another example of customer technology, AI algorithms are being used to ‘suggest’ products/services to customers. As customers find these types of use cases useful, they may make their way into the casino, i.e., making suggestions for similar slot machines

    “Moreover, marketing may begin relying on AI models to give them the ability to create more customised offers to their players based upon their past behaviours
